One of my favorite productivity apps is called “2Do”. It is an incredible todo list app that seamlessly syncs with iCloud and the built in “Reminders” app. This app has a ton of features but I will summarize a few here so you can get an idea of how useful this tool can be.
First of all, this app is a Universal app which means that you only have to buy one app that works on both the iPad and the iPhone (and iPod Touch). And again, with iCloud, it can seamlessly syncs with all your iOS devices.
Once installed, the app is loaded with a bunch of helpful features. To add sync functionality with iCloud, tap on the “Settings” tab at the bottom right of the app. Then tap on “Sync: Setup” to allow the app to sync with the built in Reminders app and between multiple devices. The sync method to choose is called “CalDAV (iCloud)”. Enter your iCloud username and password and you should be good to go. This also automatically backs up all your reminders via iCloud which is helpful. Be sure to flip both “Sync on Exit” and “Sync on Launch” toggles to on. This ensures that all your content is up-to-date.
The left hand side of the app shows all your different to do lists. If you don’t see the brightly colored tabs on the left hand side, simply tap on the “ToDos” button on the bottom right of the app to reveal the list. Tapping on any of the taps brings up a list of options to reorder the list, hide reminder’s list, etc.
To add a Todo, just tap on the plus symbol in the top right corner. This brings up the keyboard and a line to type in your first todo. All you need to do is type something in and tap “Create”. Or, if you need to add more details, simply tap on the pulsing text that says, “Tap here to Edit Details”. Tapping on this text reveals a bunch of customizations you can add to your todo. Here is a summary of them:
1. Action: you can add various actions to your todo – like a website, an email address, a phone number, or a text message. This will allow you to input a contact or website that is connected with the to do so that when the alert pops up, all you do is swipe on the todo if you are on the lockscreen. It will automatically ask if you want to initiate a call, send the text message, or go to a website.
2. Note: this is a section that is standard on most to do apps where you can add a note to your todo.
3. Type: this is super helpful if you need to create either a checklist or project. This will track multiple todos within one project. You can set various deadlines for each of the todos within the project as well as an overall deadline for the project itself.
4. Calendar: this is where you can add your todo to any list that you are currently using or syncing with iCloud.
5. Start Date: this lets you choose a date to start the project that is different from when the project is due, especially helpful for multi-day tasks.
6. Due Date: simply enter the date you want to complete the task.
7. Locations: this allows you to implement location based reminders. You can set the reminder to alert you when you are within a certain distance of the location or when you get there.
8. Audio: this lets you record an audio note that stays attached to the todo.
9. If you tap on “More Options” you get a whole additional list of customizations. Here they are: Alarm, Repeat, Tags, Picture, and URL.
So, you can be as simple or as complex with each task based on what the task or project entails.
Once the task is created, you can always edit it by simply tapping on it. You can also tap on the little arrow to the right of each todo to give the task a priority rating or to star it. Tapping and holding on the todo gives you a handy menu to check the todo off your list, defer it to a different day, copy it, share it, or delete it. If you are like me and often have more tasks than can be completed in a day, the defer options is super handy.
You can also tap and hold and once the menu is revealed, you can drag the todo over to another reminders list or into the Starred List or the Today List.
Tapping on the “Nearby” tab at the bottom will show all of your reminders that are within the range of the location you selected for that todo.
